As-Built Documentation Tells the Truth About What Was Built

Design drawings describe intent. As-built documentation describes reality: the pipe that was rerouted around an undocumented duct bank, the pump that was mounted eighteen inches higher than drawn, the cable tray that took a different path through the rack. When a facility changes hands or a project closes out, the as-builts are the only documents that match the physical plant. As-built documentation translation therefore carries a burden most translation work does not: the target text becomes the operating truth for people who will open valves, isolate circuits, and cut into walls based on what it says.

The stakes are practical and immediate. A maintenance crew that trusts a mistranslated equipment tag isolates the wrong line. A facility engineer who misreads a translated note about buried utilities plans an excavation through a live duct. The vocabulary around as-built documentation is loose in everyday use and precise in contracts, and the difference matters when the documents cross languages. American practice, following AIA and EJCDC contract conventions, distinguishes several document types that often get lumped together in conversation.

Why does a translation company care? Because each term carries a different liability weight, and other languages slice the same territory differently. German practice speaks of Bestandsdokumentation and Revisionsunterlagen; French projects deliver a dossier des ouvrages exécutés, the DOE, with a legally defined role in public contracts. Mapping these onto "as-built" carelessly changes what the document claims to be. When we translate a French DOE for a US owner, or produce German handover files from an American as-built set, we translate the document's contractual identity as deliberately as its content, and we note the mapping in the delivery record so both legal teams see exactly which term was rendered as which.

The same discipline applies inside the documents. A note stamped "as-built" on one revision of a sheet, and absent from the next, is information. Revision histories, cloud marks, and status stamps are translated consistently across the whole set so that document control on the receiving side can reconstruct the sequence of changes without a bilingual archaeologist.

Handwritten Redlines: Deciphering Before Translating

The defining feature of as-built material is the redline: field markups made by foremen and superintendents on construction sets, in pen, in the rain, on a tailgate. Before any of it can be translated, it has to be read. That is a separate skill. Our teams work with construction abbreviations, trade shorthand, and the handwriting of people who were documenting while building.

Our process splits the work into two auditable steps. First, a transcription pass converts every handwritten annotation into typed source-language text, each item numbered and located on the sheet. Anything genuinely illegible is marked as such, never reconstructed from context. Second, the confirmed transcription is translated, so you can always trace a translated note back through the transcription to the original mark. On request, the transcription list goes to your site team for confirmation between the two steps. It is slower than translating on the fly. It is also the only method that survives an incident investigation asking what the field note actually said.

The archive is bigger than you think. A mid-size process plant handover routinely includes 3,000 to 10,000 drawings plus vendor files, and an operating facility's archive grows for decades. Full translation of everything is rarely the right answer. Structured triage, translating the operating-relevant core and indexing the rest, typically cuts the translated volume by more than half without leaving operations blind.

Handover: The Turnover Package That Starts Operations

At mechanical completion, the contractor hands the owner a turnover package: as-built drawings, inspection and test records, weld maps, cable schedules, vendor data books, spare parts lists. On international projects, large parts of that package arrive in the contractor's or vendors' languages. The owner's operations team, often hired locally, needs it in theirs. Until the translation exists, the plant is running on documents its operators cannot read.

We organize turnover translation the way the package itself is organized: by system. That keeps priorities honest, because systems that start up first get translated first, and it keeps terminology coherent, because one glossary governs a system's drawings, records, and manuals together. Buying a Plant Documented in Another Language

Industrial acquisitions create the largest as-built projects we see. A US buyer acquires a plant in Bavaria, or a European group buys a facility in Ohio documented partly in the Polish of its construction crews. Overnight, the new owner holds an archive of piping isometrics, single-line diagrams, structural drawings, and modification records in a language its engineering staff does not read.

We run these projects in phases. Due diligence needs fast, targeted translation of a sample: key drawings, permits, inspection histories, known problem areas. After closing, operations needs the safety-relevant core, including isolation drawings, relief system documentation, and confined space records. Then comes the long tail, translated on demand as maintenance opens each system. Triage and register setup for a typical package takes about a week. After that, throughput depends on format mix: clean CAD files move fastest, while heavily marked-up scans need the transcription step. As a planning figure, a priority core of 400 to 600 sheets is usually delivered within 4 to 6 weeks, with steady batches thereafter. Acquisition due diligence samples run much faster, often 48 to 72 hours for a targeted set.

How is confidentiality handled during an acquisition?
