Privacy Policy
This policy sets out what Techniwords collects from visitors and clients, how long we keep it, and who is allowed to see it. Client documents sent for quoting or translation are covered by stricter rules than website data, and those rules are described below.
Effective date: 07/31/2026
Who this policy covers
Techniwords is a technical translation company operating from Texas and serving clients throughout the United States. This policy explains what we collect when you visit techniwords.us, request a quote, or send us documents to translate, and what we do with it. It applies to our website and to the project work that follows from it. Where a signed client agreement or non-disclosure agreement sets stricter terms than this policy, the signed agreement governs.
Information we collect
We collect three kinds of information, and we keep them separate.
- Information you give us directly. Name, company, email address, phone number, and whatever you write in a quote request or email. If you engage us, this extends to billing contact details and purchase order references.
- Documents and project material. The files you send for quoting or translation, along with reference material such as glossaries, style guides, and previous translations. These are treated as client confidential information, not as marketing data.
- Technical information collected automatically. IP address, browser type, pages viewed, referring page, and timestamps, gathered through server logs and analytics cookies. This tells us which pages people read and where the site is slow.
We do not ask for Social Security numbers, financial account numbers, health information, or government identification documents. If a translation project genuinely requires personal data of that kind inside the source files, we handle it under the project agreement and delete it on completion.
How we use what we collect
| Category | Why we use it | How long we keep it |
|---|---|---|
| Contact details | Answering inquiries, issuing quotes, running projects, invoicing. | Duration of the relationship, then as required for accounting records. |
| Quote files | Word counts, format analysis, and pricing. | Deleted on request; otherwise purged on our standard cleanup cycle if no project follows. |
| Project files and deliverables | Translation, revision, quality checks, and delivery. | Retained during the project and for a limited archival period so we can reissue or update files, unless you ask us to delete sooner. |
| Translation memories and termbases | Consistency across your future projects and discounts on repeated content. | Kept while you remain a client; exported to you or destroyed on request. |
| Website analytics | Understanding traffic patterns and improving pages. | Aggregated, with cookie lifetimes described below. |
| Billing records | Invoicing and tax compliance. | As long as US recordkeeping obligations require. |
How client documents are protected
Documents sent to us for quoting or translation are confidential by default, whether or not an NDA has been signed. Access is limited to the project manager assigned and the linguists working on the file, all of whom are bound by written confidentiality agreements. Files travel over encrypted connections and are stored encrypted at rest. We do not display client documents in portfolios, we do not use their content as writing samples, and we do not quote from them in marketing.
On machine translation engines. Client content is never pasted into free public translation tools. Where a project uses machine translation with human post-editing, it runs in a contracted environment that does not retain or train on submitted text, and you are told in advance because that work is quoted as a separate line.
We do not sell your information
Techniwords does not sell personal information and does not share it for cross-context behavioral advertising. We do not rent, trade, or otherwise make our contact list available to third parties. We have never done so and this policy would have to change before we could.
Service providers we rely on
Running the business requires a small number of vendors, each with access limited to what their function needs: a website hosting provider, an email and file storage provider, a secure file transfer service, a payment processor for card and bank transactions, and an analytics provider for site statistics. These vendors process information on our instructions under contracts that prohibit using it for their own purposes. Linguists working on your files are independent professionals under confidentiality agreements with us and receive only the material required for their part of the project.
Cookies and analytics
The site uses a small number of cookies. Strictly necessary cookies keep the site functioning and cannot be switched off. Analytics cookies record anonymous usage statistics such as page views and session duration, typically expiring within 24 months. We do not run advertising retargeting pixels on techniwords.us. Most browsers let you block or delete cookies through their settings, and blocking analytics cookies will not stop you from using any part of the site or from requesting a quote.
Your choices and your rights
You can ask us at any time to do the following, and we will respond within 45 days.
- Tell you what personal information we hold about you and where it came from.
- Correct information that is inaccurate or out of date.
- Delete your information, subject to records we are legally required to keep, such as invoices.
- Provide a copy of your translation memory and termbase, or destroy them.
- Stop sending you any email that is not directly related to an active project.
Requests go to info@techniwords.us with enough detail for us to identify the records. We may ask you to confirm your identity before acting, particularly where a request concerns project files, since releasing a client document to the wrong person would be the worse outcome.
Notice for California residents
Under the California Consumer Privacy Act as amended by the CPRA, California residents have the right to know what personal information is collected, used, and disclosed; the right to delete personal information we hold; the right to correct inaccurate personal information; the right to opt out of sale or sharing; and the right not to be discriminated against for exercising any of these rights.
Techniwords does not sell or share personal information as those terms are defined by the CCPA, so there is no opt-out mechanism to offer. The categories of personal information we collect are identifiers such as name, email address, phone number, and IP address; commercial information such as records of services purchased; and internet activity information such as pages viewed on our site. We collect them for the business purposes described above, from you directly or through your use of our website. To exercise a California right, email info@techniwords.us or call (346) 296-6516. An authorized agent may submit a request on your behalf with written proof of authorization. We will not charge you or degrade service for making a request.
Security
We use encrypted transfer, access controls, least-privilege permissions for linguists and vendors, and confidentiality agreements throughout the supply chain. No system can be guaranteed impenetrable, and we will not pretend otherwise. If a breach affects your information, we will notify you promptly and tell you what we know, including what we do not yet know.
Children
Our services are sold to businesses and institutions. The site is not directed to anyone under 16 and we do not knowingly collect information from children. If you believe a child has submitted information through our forms, write to us and we will remove it.
Changes to this policy
If we change how we handle information, we will revise this page and update the effective date at the top. Material changes affecting active clients will also be communicated by email to the project contact on file. Prior versions are available on request.
How to reach us about privacy
Privacy questions, access requests, and deletion requests go to info@techniwords.us, or by phone to (346) 296-6516 during Central Time business hours. General inquiries are better routed through our contact page, and if you are evaluating us as a vendor, confidentiality terms can be agreed before you send a single file through the quote request process.
