A glossary the plant kept

A German line, an American approval package

The client is a Tier 1 automotive supplier headquartered in Germany, opening its first production line in the Southeastern United States. Tooling, process design, and quality documentation had all been built at home, in German, over several years. The customer approval package had to be American.

Before a single part could ship, the launch team needed the full production part approval submission in English: the PPAP dossier, the control plans, station-level work instructions for operators who speak no German, and the process FMEA behind all of it. Roughly 85,000 words. The internal plan had been to hand it to bilingual engineers, which would have cost weeks of the exact people needed on the line. The calendar allowed four. That gap is a common pattern in the automotive supply chain work we take on, especially around the plants clustered in the Carolinas that we support through Charlotte technical translation.

The challenge: two quality systems and one plant dialect

PPAP documentation is not free prose. It sits inside a framework, and the framework differs on either side of the Atlantic. The German source followed VDA conventions. The US customer would read it under IATF 16949 with AIAG reference manuals on the shelf. Both use fixed vocabulary that does not survive literal translation.

A Lenkungsplan is a control plan, not a steering plan. Besondere Merkmale are special characteristics, and the split between safety-relevant and function-relevant designations has to map onto the customer’s own symbol set. Prevention and detection columns in an FMEA carry meanings a general translator will blur. A submission that reads slightly off comes back with questions, and questions cost days.

The second problem was less about standards and more about reality. Most of the package arrived as Excel workbooks written by process engineers for process engineers. Column headers truncated to fit. Machine codes. Station names cut to three letters. Margin comments using shop-floor shorthand that exists in exactly one plant on earth. You cannot look those up. Someone has to ask, and asking 400 times over four weeks would have buried the client’s quality manager. The same issue shows up whenever we handle standard operating procedure translation for a plant old enough to have developed its own vocabulary.

What we did

We put Anke Hoffmann in the lead. She holds a Dipl.-Ing. in Electrical Engineering from RWTH Aachen, has 18 years in automotive and industrial automation translation, and lists VDA and IATF documentation among her specialties. Before translating full time she wrote technical documentation inside a German automation equipment maker, so plant shorthand is familiar territory rather than an obstacle. She owned the German source: what each abbreviation meant, which convention each form followed, where the original was ambiguous. The English text was produced by automotive translators writing into their native language, with an independent reviser behind them.

Week 1 went to terminology instead of volume. Anke pulled the recurring terms out of the corpus and built a bilingual glossary in three columns: German source, AIAG or IATF English equivalent, and a short usage note explaining the choice. That file went to the client’s quality manager for validation before the bulk of the translation started. He changed a handful of entries to match what his customer already used in its portal and approved the rest. From that point the wording was settled, and nobody had to reopen a form field in week 3.

The rule that protected the schedule: queries went out in batches twice a week, Tuesday and Thursday, never one at a time. The client’s quality manager answered two consolidated lists instead of fielding messages all day, and turnaround on our side stayed predictable because we always knew when the next answers were coming.

The Excel files were translated in place, cell by cell, with structure, column layout, and formulas untouched so the launch team could set the German and English versions side by side and compare them row for row. Abbreviations were expanded where the cell had room and kept short where it did not, with the expansion recorded in the glossary. Work instructions got different treatment: written for operators reading them at a station, which means short sentences, imperative verbs, and no compound noun stacks. That register discipline is a large part of what separates German technical translation from general business translation.

The result

The complete package was delivered in four weeks, matching the launch schedule. The submission went to the customer without documentation being the item that held anything up.

Two things happened afterward that we did not plan for. The launch team printed the bilingual glossary and made it the internal reference for anyone moving between the German and American sites, including engineers who had never been on the translation distribution list. And a few months later the client came back with maintenance instructions for the new line. Follow-on orders are a better verdict than a satisfaction survey.

Why not have bilingual engineers translate the PPAP package internally?

Plenty of clients try, and it works for a two-page form. At 85,000 words it consumes the launch team during the weeks it is needed most, and terminology drifts because three engineers render the same heading three ways. This client priced the internal route at roughly two months of borrowed engineering time.

How did you deal with the plant abbreviations in the Excel files?

We collected them rather than guessed at them. Anke flagged every unresolved code as she went, and the list went to the client twice a week for confirmation. Once an abbreviation was explained it entered the glossary with its expansion, so it never had to be asked again. Anything still open at the end was delivered with a visible comment instead of a silent assumption.

Do the translated Excel workbooks keep their formatting and formulas?

Yes. We translate inside the file structure, so cell references, formulas, sheet names, and column layout survive the process. The client wanted to compare German and English versions row for row during review, which only works if the two files still line up. Where English ran longer than the German and broke a column width, we adjusted the layout and noted it.
