Why Product Specification Translation Is Contract Work

A product specification looks like an engineering document, and it is one. It is also something else: the technical annex of a commercial agreement. When a US buyer sends a spec to a supplier in Osaka or Monterrey, that document defines what a conforming shipment is. When the goods arrive and an argument starts about surface finish, coating thickness, or tensile strength, both sides open the spec. Product specification translation therefore has to satisfy two audiences at once: the engineer who verifies the part and the lawyer who reads the same sentence three years later during a dispute.

Under the Uniform Commercial Code, a buyer can reject goods that fail to conform to the contract, and the specification incorporated into the purchase order usually defines conformity. If the Spanish version your supplier worked from says "aproximadamente 2 mm" where the English original says "2.0 mm ±0.1 mm," you have manufactured a dispute. Nobody wins it cheaply. Our translators treat each requirement sentence as a clause, not as prose, because that is how an arbitrator will treat it.

Performance Specs and Manufacturing Specs Are Different Jobs

Most specs fall into one of two families, and each carries a distinct translation risk profile. A performance specification states what the product must do: withstand 500 hours of salt spray per ASTM B117, hold pressure at 150 psi, survive 100,000 actuation cycles. A manufacturing specification, sometimes called a build-to-print package, states how the product must be made: material grades, process steps, heat treatment parameters, weld procedures.

The distinction matters when we build your glossary. Performance specs demand precision around test methods and measurement conditions. Manufacturing specs demand a translator who knows shop-floor process vocabulary in both languages, because "quenched and tempered" has one correct rendering in Japanese metallurgical usage and several wrong ones that a general translator would find in a dictionary.

Acceptance Criteria: Where One Word Moves the Pass/Fail Line

Acceptance criteria are the most litigated sentences in any spec. They mix numbers, which we never alter, with language, which does all the damage. Consider the difference between "no visible defects" and "no defects visible at 10x magnification." Or between a lot accepted "if no sample fails" and "if no more than one sample fails." Sampling plans referencing ANSI/ASQ Z1.4 bring their own fixed vocabulary: AQL, inspection level, tightened inspection. These terms have established equivalents in major industrial languages, and inventing new ones creates ambiguity your incoming inspection team will pay for.

Verb choice matters just as much. In American specification writing, "shall" states a binding requirement, "should" states a recommendation, and "may" grants permission. Some languages express obligation less sharply, so we apply fixed, consistent renderings for each modal verb across the entire document and record them in the project glossary. A requirement that drifts into a suggestion in translation is a requirement your supplier can ignore.

Two versions, one purchase order. Arbitrators read the specification version referenced in the contract. If your supplier signed the Japanese text and the purchase order references the English one, the two must match line by line. Normative References: Cite, Never Improvise

A typical product spec cites a dozen external standards: ASTM D638 for tensile properties, ISO 2768 for general tolerances, SAE J429 for fastener grades. Our rule is simple. Standard designations remain untouched in every language. Standard titles are rendered using the official published translation where the issuing body provides one, and ours is marked as informative where it does not.

The harder problem is equivalence. Your spec may cite ASTM A240 for stainless sheet while your Korean supplier's mill certificates reference the JIS or EN equivalent grade. Those standards overlap but do not match. We never substitute one standard for another in translation, because that is an engineering decision, not a linguistic one. Instead we flag every point where the target market commonly applies a different reference, so your engineers can decide whether to add a dual citation. How Translated Specs Fail at Incoming Inspection

After fifteen years of specification work, we see the same failure patterns repeat. They are worth listing, because each one is preventable and each one surfaces at the worst possible moment: when parts are already on your dock and your production line is waiting for them.

  • Silent unit assumptions. A dimension given only in inches gets read as millimeters by a metric-native machinist, or a translated spec adds converted values that were rounded one digit too far. We keep original values primary, add conversions only where you ask for them, and mark them as reference.
  • Defect taxonomy drift. The English spec distinguishes scratches, gouges, and dents. The translation collapses two of the three into one word, and the supplier's final inspection stops screening for a defect class you thought you had excluded.
  • Softened obligations. "Shall be free of burrs" becomes something closer to "should be deburred." The supplier reads a preference where you wrote a requirement, and rejection at incoming inspection turns into a commercial argument instead of a clear nonconformance.
  • Test condition erosion. The performance value survives translation but the conditions attached to it do not: temperature, humidity, load rate, sample preparation. A result measured under the wrong conditions is not the result you specified.
  • Inconsistent part naming. The same component carries three names across the spec, the drawing package, and the inspection sheet. Each individual choice is defensible; together they make traceability guesswork.

Every one of these patterns comes from treating a spec like ordinary text. Specs in International Procurement

American manufacturers now source castings from Mexico, machined parts from Taiwan, electronics from Korea, and precision components from Japan, often for the same assembly. Each supplier needs the spec in a language its production team actually reads. English fluency in a supplier's sales office tells you nothing about English fluency at the CNC station where your tolerance callouts get interpreted at 6 a.m.

Japan deserves particular care. Japanese suppliers work to exacting internal documentation cultures, and a sloppy Japanese version of your spec signals a sloppy customer.
